Clean books.
Clear decisions.
Bookkeeping and monthly close for restaurants, retail stores and multi-location businesses. Sales tie to deposits, every location gets its own numbers, and the books close on a set date each month.
Sound familiar
Sales are strong.
The numbers show up late.
Restaurants and stores move a lot of money in small pieces. When the books fall behind, owners make big calls on old numbers.
Sales do not match deposits.
The POS says one number. The bank says another. Card fees, refunds and delivery-app payouts sit in the gap. Delivery apps alone keep 15% to 30% of each delivery order.
Food and labor costs come in late.
Food and labor together should stay near 60% of sales. By the time you see last month’s costs, this month is already half gone.
Every location blurs together.
One profit and loss for the whole company. No clear view of which store or kitchen is carrying the others.
Inventory is a guess.
Cost of goods is estimated, so margins are too. Loss you never see in the books stays invisible until the count.
Tax time is a scramble.
Sales tax, payroll and year-end files get pulled together in a rush every spring.
Why it matters now
Margins are thin.
Late numbers cost more.
When a business keeps a few cents of every dollar, a month of late books is a month of decisions made blind. One late payment can be the difference between making payroll and missing it.

Why it happens
The systems do not talk.
So someone retypes them.
Most growing operators run good businesses on disconnected tools.
POS, bank and payroll live apart.
Each one has part of the picture. Nobody ties them together every week.
A manager does the books after close.
Late at night, after a full shift. So it slips.
Nothing marks the end of a month.
Without a set close, small errors stack up across every location.
The books were built for one store.
Then you added a second and a third, and the chart of accounts never caught up.

What we do
The finance back office.
Without hiring one.
We work in QuickBooks Online, QuickBooks Desktop and QuickBooks Enterprise. We connect your POS, bank, payroll and bills to your books, then review, reconcile and close. You get current numbers by location.
Bookkeeping and reconciliation
Transactions categorized. Every bank and card account matched to the statement.
Sales and deposit matching
POS sales, card processing and delivery-app payouts tied to what hit the bank.
Weekly flash report
Sales, food cost and labor cost by location, while there is still time to act.
Close and reports by location
Profit and loss for each location and the whole company, plus balance sheet and cash flow.
Payroll processing
Payroll run on schedule, tips included, recorded in the books and ready for your CPA.
Bills and vendors
Vendor bills tracked and matched, so you know who you owe and when.
Cleanup and systems setup
Past months brought current. QuickBooks set up, or moved to the right version, and connected to your other systems.
Business credit setup
Your business credit profile set up, plus vendor accounts that report and payment habits tracked in the books.
What lands every Monday
The weekly flash report.
One page, every location, last week’s numbers. Sales against last year, food cost, labor cost and prime cost against your target. If a kitchen drifts, you see it in days, not at month end.
| Location | Sales | vs last year | Food | Labor | Prime |
|---|---|---|---|---|---|
| Location A | $48,200 | +6.1% | 29.4% | 28.8% | 58.2% |
| Location B | $36,900 | +2.3% | 31.7% | 31.5% | 63.2% |
| Location C | $29,400 | -3.8% | 30.2% | 29.1% | 59.3% |
| All locations | $114,500 | +2.2% | 30.3% | 29.8% | 60.1% |
Illustrative numbers. Prime cost target: 60% of sales.

Pricing
Priced by location.
Quoted in writing.
Price is set by the number of locations, accounts and monthly volume. We confirm the right plan after the Books Checkup and put it in writing before work starts.
What counts as a transaction: one line on a bank or credit card statement in a month. That means a deposit, a payment, a card charge or a transfer, across every account we reconcile. POS sales post as one summary entry per day, so individual sales are never counted.

How we work
Clear lines.
Your business stays yours.
We keep the books. Your CPA and attorney keep doing the work they are licensed to do.
Your QuickBooks file and bank logins stay in your name. We work through accountant access, and you can see everything we do.
Every engagement has a written scope and price before work starts.
Your numbers are shared with no one unless you ask us to share them.
Current books, closed every month, in a file you own.
If you also work with our sister company, Foundation First Construction, you get a written disclosure first. A business whose books we keep is never presented as independently reviewed by Foundation First.

Questions
Straight
answers.
What is the Books Checkup?
A fixed-fee review of your books, systems and gaps. You get a written findings report and a fixed quote. The $495 is credited to your first month if you sign on.
How is the price set for more than one location?
The Operator plan is $1,500 a month for the first location and $850 for each added location. Groups of three or more usually fit the Controller plan, quoted by locations and entities.
Which systems do you work with?
QuickBooks Online, QuickBooks Desktop and QuickBooks Enterprise, connected to your POS, payroll and bill-pay tools. We confirm your exact systems during the Books Checkup.
We are on QuickBooks Desktop. Do we have to switch?
No. Some older Desktop versions no longer get bank feeds or payroll updates, so we check your version and tell you plainly whether to stay, upgrade or move. Any move is quoted before it starts.
What counts as a transaction?
One line on a bank or credit card statement in a month: a deposit, a payment, a card charge or a transfer, across every account we reconcile. POS sales post as one summary entry per day, so individual sales are never counted. We look at three recent months of statements to set your plan.
How far behind is too far behind?
No file is too far behind. Cleanup is $250 per month behind for simple files and $450 for high-volume files, with a $750 minimum, quoted flat once we see the file.
Do I still need a CPA?
Yes. We keep the books current and hand your CPA a clean year-end package. Your CPA handles the work they are licensed for.
Do you work with other kinds of businesses?
Yes. Small businesses fit the Essentials or Growth plans, and contractors can add job costing and a monthly WIP schedule.
Do you only work in Hampton Roads?
We are based in Hampton Roads and most clients are local. The work is done online, so we can support businesses elsewhere in Virginia too.
